Media Center

Thank you for your interest in obtaining a UCHS Media Credential for the 2025 Upperville Colt & Horse Show (June 2-8).

Credential Overview

To be eligible for a press credential, you must meet the following criteria:

• Be affiliated with or assigned to a recognized publication, news service, website, radio station, or television network, or apply as freelance press.
• Submit a letter of assignment or an email from your assigning editor or publisher requesting press credentials, or apply as freelance press.
• Alternatively, freelance press photographers/videographers (without a media assignment) are required to provide UCHS with six (6) of their best photos . See additional requirements & details below

*Editors assigning multiple photographers should designate one as the primary photographer.

Press credentials must be requested via the form below. Those approved will be contacted by the media office.

Media Credential Rules

• Credentialed press/media personnel are allowed inside the arena only during awards presentations and must be escorted by a Press Officer.
• Approved Media must abide by the following rules:
• Photos/videos under this agreement will only be offered to the media, and will not be sold to the public.
• The use of flash attachments is not permitted on horse paths, in competition and stabling areas, or during competition.

Terms and Conditions

• By applying for the Media Credential, you agree to comply with all rules and regulations. Failure to adhere to these rules may result in the revocation of your credential.
• Credentials are limited and subject to UCHS management approval.
• Credentialed media will have access to the Media Center.
• Credentialed media must sign a Press Credential General Form and Release of Liability

Freelance Press Additional information 

• Freelance press (without an assignment) are required to provide UCHS with Six (6) Digital, high-resolution images within one week of the end of the show to info@upperville.com. These images will become part of the UCHS Marketing library, for use on marketing and press material with photo credit given to submitting photographer/videographer. Failure to provide images will affect future acceptance for UCHS credentials.
• Freelance photographers/videographers agree by submitting this application that their photos/videos taken under this agreement will only be offered to the media, and will not be sold to the public.

Application Process

Once your application is submitted, it will be reviewed by UCHS. You will be contacted regarding approval. Proof of Insurance can be emailed to info@upperville.com or UCHS PO Box 239 Upperville, VA 20185.

Thank you for your interest in obtaining a UCHS Private Photographer Credential for the 2026 Upperville Colt & Horse Show (June 1-7, 2026).

Credential Overview

Private Photographers are required to obtain a Private Photographer Credential if they intend to give or sell photos to exhibitors or competitors.

Credential Fee:

• $1,000 per photographer for the week of May 30 – June 7, 2026.
• This is a flat fee, regardless of the number of days attended.
• Assistant photographers must also apply and are subject to the same fee.

Limited Availability:

• Credentials will be issued on a first-come, first-served basis.
• A waitlist will be maintained in case of cancellations.

Insurance Requirement:

• All photographers must provide a Certificate of Liability Insurance listing:
  Upperville Colt & Horse Show

  as an additional insured.

Liability Waiver:

• All photographers must sign both the Press Credential General Form and the Release of Liability, available on the UCHS Media Center.

Private Photographer Rules

• Access Restrictions: Private Photographers are not permitted inside the arenas.
• Credential Visibility: Credentials must be clearly visible when shooting photos.
• Client List: Photographers must provide a client list; this list will be used for internal review purposes only and will not be distributed or shared.
• No Solicitation: Photographers may not solicit new clients once the show begins.
• Photo Sales: Photos may only be distributed to clients on your list; no public or online sales outside of the client list are allowed.

• Private photographers may not advertise or have a vendor space on property.

• Flash Photography: Use of flash is prohibited in competition areas, stabling areas, and on horse paths.

Terms & Conditions

• By applying, you agree to comply with all UCHS rules and regulations.
• Failure to comply may result in revocation of your credential without refund.
• Credentials are limited and subject to approval by UCHS management.
• Private Photographers do not have access to the Media Center unless they also hold a media credential.

Official Photographer

Erin Gilmore Photography is the Official UCHS Photographer and receives:

• Priority positioning outside the arenas
• Exclusive access inside the arenas

Application Process

1. Submit your application (link below).
2. If accepted, an email and invoice will be sent to the email on your application. Payment maybe submitted via Square (a 4% online payment fee will be applied), or a check maybe mailed to UCHS PO Box 239 Upperville VA 20185.

Required for Credential Issuance

The following items must be submitted by May 15:

• Client List
• Certificate of Insurance
• Payment ($1,000)
• Signed Waiver of Liability

Credentials will be distributed by the UCHS Press Manager at the Media Tent.

Key Dates

Applications Period opens April 1

Application Period closes May 1

Photographers will be notified of their acceptance on May 2.

Payment, Client List, Insurance documents, and waiver must be received May 15, 2026.
